PDPEF Questions & Answers

In 2010, the Programme Director's Planning and Evaluation Form (PDPEF) for IPP, Seminar Camp, Summer Camp, Village and Youth Meeting was in an on-line format. For 2011, the on-line format will also apply to Interchange.

Q1. How do I access the on-line PDPEF?
Q2. I have claimed participation in my Programme, but as it does not yet have an Activity Manager, my claim has not been approved. What should I do?

Q1. How do I access the on-line PDPEF?
A. Claim participation in your Programme on the Friends website as 'director' or 'staff' (or 'NIC' or 'LIC' for Interchange). Once your claim is approved, go to http://forms.cisv.org/pdpef/default.aspx. You will be able to access your PDPEF using your Friends Registration ID (the code that looks like AB001234) and your Friends password. For more technical information, see the E-Notes document in the relevant PDPEF Package on Resources under 'Forms'.
 
Note that your Friends password may not work if it was registered before 10 November 2009. If your password does not work, please go to the Friends website and change it. 
 
Q2. I have claimed participation in my 2011 Programme, but as it does not yet have an Activity Manager, my claim has not been approved. What should I do?
A. Send an e-mail to international@cisv.org, telling us your name and which Programme you have claimed participation in (e.g. V-2011-85). We will then approve your claim.
 
Q3. I am a Programme Director and I can access the on-line PDPEF. Will my Staff colleagues also be able to access the PDPEF for our Programme?
A. Yes, as long as they too have claimed participation (as 'staff') in your Programme on the Friends website they will be able to access, edit and add to the same PDPEF.
 
Q4. I can see my PDPEF but it does not allow me to open it. What should I do?
A. Make sure you have registered as Staff, Director or LIC/NIC in your Programme on Friends. If you have registered for any other role, you will not be able to access the PDPEF.
 
Q5. Where can we find the Individual Evaluation Form, which we will need during our Programme?
A. You will find it in the the relevant PDPEF-package on Resources under 'Forms', or by clicking on any of the following shortcuts: IPP, Seminar Camp, Summer Camp, Village, Youth Meeting. The PDPEF-packages include: Quick Notes, E-Notes, PDPEF Sample Sheet, Individual Evaluation Form, and Group Evaluation Form.
 

Q6. Where can we find the Activity Writing Template for our Programme?

A. Go to Recources and click on 'Forms' on the blue top menu bar. The different Activity Writing Templates will be listed among other Programme Forms. Alternatively, simply click on either of the following shortcuts: IPP, MosaicSeminar Camp, Summer Camp, Village and Youth Meeting.
 
Q7. Should we attach the Address List to the on-line PDPEF or just e-mail it directly to the IO?
A. Both options are perfectly ok. Make sure that the file size is not too big as it otherwise cannot be attached to the on-line PDPEF.

Q9. Who do I contact for questions about evaluation?
A. Please contact the International Evaluation and Research Committee (EVR) at evaluation.research@cisv.org or your relevant Programme Committee (IIC, IPP, ISU, IVC, SCC or YMC).
 
Q10. What should we do if we do not have internet access at the site?
A. Download the PDPEF-package from Resources and export the address list spreadsheet from Friends before the Programme so you have access to the necessary information. If your address list spreadsheet is incomplete, then you can simply add the missing information manually during the Programme so that you address list is complete.

 

Q11. How long can I work on the on-line PDPEF before it logs out?
A. The form can take 'time out' so make sure you save form your work regularly. The data is also saved every time you go to another page (or section) of the PDPEF.
 
Q12. Where can I find some training material about how to use the PDPEF?

Q13. As a Mac-user, what internet browser should I use?
 A. The recommended internet browser is 'Firefox' as it is sufficiently compatible with SharePoint (where the PDPEFs are stored). Using 'Safari' is not recommended.

Q.15. Can I make changes in the PDPEF after submitting it?
A. Yes. Simply access your form and re-submit it. The IO will then get an automatic notification that your PDPEF has been re-submitted. If this does not work, contact international@cisv.org
