CISV Official International Meetings and Elections
All official documents relating to CISV’s formal international meetings are processed through the IO. Where appropriate, they are made available on the Resources web site.
Annual International Meeting (AIM)
The host NA takes care of all the practical arrangements. The IO cooperates with
the host team to ensure that information is shared and things like fees, registration and insurance
are covered. The IO is responsible for processing all official reports and decision-making
documents. The person primarily in charge of this function is Bebbe Hron. He oversees the
following:
- Collection and processing of reports and motionsPosting documents on the Resources website
- During the AIM, a satellite IO operates at the AIM site and collects and processes all motions submitted at AIM, as well as Committees plans submitted for approval
- The Secretary General collates and finalises the AIM Minutes, which are posted on the Resources website.
Mid-Way Meeting (MWM)
This meeting of the International Executive Committee (IEC) usually takes place in
February, in Newcastle upon Tyne and includes a meeting with IO Staff. The IO is responsible for
processing all official reports and decision-making documents. Again, the person primarily in
charge of this function is Bebbe Hron, who oversees the following:
- Collection and processing of reports and motions
- The Secretary General collates and finalises the MWM Minutes, which are posted on the Resources website .
Annual General Meeting (AGM)
As a limited company, CISV International Ltd. must hold an AGM each year. These
meetings deal with corporate matters such as the accounts/auditors, election of directors and
secretaries and any resolutions. For convenience, the AGM is held during the AIM. As most of the
matters addressed at the AIM are beyond the scope of the corporate issues of interest to Companies
House, the AGM is held as a separate session and minuted separately. The IO is responsible for
processing all official reports and decision-making documents. The person primarily in charge of
this function is the Secretary General. The Secretary General works with the Company Secretary to
prepare the Notice of the AGM as well as the minutes. Notice is circulated approximately a month
prior to the AGM, along with the minutes of the last AGM and the audited accounts.
International Junior Representative (IJR) Election
The IJR elections are held annually, as each IJR is elected in alternate years and
serves for a term of two years. IN accordance with Info File O-15, the Secretary General serves as
election chair. During the year, the IO processes and distributes all the nomination and
confirmation documents relating to the election. The voting session, itself, is chaired and minuted
by the Secretary General.
International Executive Committee (IEC) Election
Held every 3 years at the AGM, this election is managed entirely by an Election
Committee appointed for each election. The IO may distribute information on behalf of the
committee, but is not involved in managing the election process.
