Please find below a list of topics related to the Village program that we would like to remind and inform you about.

ONLINE PRECAMP COMMUNICATION
Today CISV people are more and more using online social networks and tools, thus making precamp communication much easier and widely shared. For this reason, some limitations should be set for their use.
The IVC is recommended to manage precamp communication through private/by invitation only (such as Yahoo and Google Groups) to prevent any privacy or security issue that could raise from an improper use, such as the publication of kids’ pictures on the internet. Private online groups pages, being only by invitation, permit an effective, safe and open communication. It is important to limit these exchanges to staff, leaders and JCs only.
Facebook pages and tools alike are not to be considered adequate means for precamp communication for everyone. If everybody is registered on such sites, and kids/parents could sign in, making it difficult to freely deal with all the issues that can be raised in a precamp exchange.

TRTREATMENT OF LICE
 Lice is a situation that happens at Villages. It is important for all Villages to have lice check as the Delegations arrive, to prevent any outbreaks or spreading. When lice is discovered, it is the responsibility of the hosting chapter to treat infected individuals, as well as making sure that all the items of clothing, bedding and other things that may be contaminated. Any cost incurred by the hosting chapter must be paid for by the hosting chapter unless it be comes sever enough and medical treatment is required at which time, the individual’s insurance would be responsible.
 

DAMAGES TO THE FACILITY
Unless damages to a facility were done on purpose, like throwing a rock to break a window,  accidental damages, are the responsibility of the hosting chapter. Villages should be covered by insurance for just these specific reasons. Delegations should not be charged unless it is found that the act was done on purpose in the matter of specifically to cause damage.

TRAVEL EXPENSES
It should be included in Pre-Camp one, the actual location where the Delegation will be met by CISV families or individuals from the hosting chapters. If the sending chapter is responsible for getting the delegation to the pick up location, it must be clear in the Pre-Camp so that the proper arrangements can be made by the sending chapter. Just listing the final airport code is not enough if the sending chapter is required to meet some where else. This should be included in the additional information portion.

PRE AND POST HOSTING OF DELEGATIONS
Just a reminder, Info File C-03, states:
Free hospitality of early arriving or late departing delegations is limited to a maximum of two days. Delegations arriving earlier or departing later will be responsible for their own accommodation expenses.
That being said, all effort should be made to have delegations and JCs arrive on the starting date of the Village. Having to find additional host families for longer stays, can be an additional hardship on the hosting chapter.

PRE AND POST HOSTING OF JC
The requirement for Pre and Post Hosting of a JC is the same as mentioned above for the delegations. However, if a Village staff asks the JCs to be at the village earlier than the starting date, this information should be listed in the first pre-camp or sooner if possible. Many chapters purchase air plane tickets before the first pre-camp so changing tickets to an earlier date may not be possible and will exclude those who are not able to arrive early.
